LiveThe formula
6.67 hours accrued per pay period, 12 periods elapsed, 40 hours used: accrued = 6.67 x 12 = 80.04 hours, remaining = 80.04 - 40 = 40.04 hours (about 5 work days).
Step-by-step guide
- Find your accrual rate on a pay stub or in your employee handbook - often listed as hours per pay period.
- Enter how many pay periods have elapsed this accrual year.
- Enter any PTO hours you've already used to see your remaining balance.
Why accrual rates are usually shown in hours, not days
Tracking PTO in hours (rather than whole days) lets it accrue smoothly with each paycheck rather than in awkward lump-sum chunks, and it also handles partial-day usage cleanly - taking a half-day off deducts exactly 4 hours, not an ambiguous fraction of a "day." A common approximation, 6.67 hours biweekly, comes from spreading roughly 15 vacation days a year (120 hours) across 18 of the year's 26 biweekly pay periods, though exact policies vary by employer and often exclude certain periods from accrual.

Frequently asked questions
Where do I find my exact accrual rate?
Check a recent pay stub (many list "PTO accrued this period"), your employee handbook, or your company's HR portal - the rate can also vary by tenure at some companies.
Does this include sick leave separately from vacation?
This calculator works with whatever single accrual rate you enter - if your employer tracks vacation and sick time separately with different rates, run the calculation once for each.
What if my company gives a lump sum instead of accruing gradually?
This calculator is built for gradual accrual - for a lump-sum policy, just subtract your used hours directly from your total granted balance instead.
